A clear workflow for client estimates and delivery approvals

Agreeing to a price does not confirm that the finished work meets the brief. Keep those two decisions separate: approve the estimate before work begins, then approve the delivery after review.

First decision: what are we agreeing to build?

Put the proposed change, acceptance criteria and scope classification on the task. Record planned hours and the fee before asking the client for an estimate decision. Link the decision to that task so its context stays visible.

Illustrative estimate

Request: Add a newsletter signup to the website footer.

Included: Approved copy, responsive layout, connection to the existing mailing list and a confirmation message.

Outside this request: Writing a newsletter sequence or migrating subscribers.

Estimate: 8 hours / $480. These are example project figures, not TaskOH subscription prices.

If the client’s response changes the scope, update the proposal and make sure the revised agreement is clear before proceeding. A comment saying “looks good” is less useful when it is unclear which version it refers to.

Second decision: does the result meet the agreement?

  1. Show what is ready to review

    Put the preview link, relevant screenshots and review instructions on the task. Explain which acceptance criteria the client should check.

  2. Request delivery approval

    Ask for a decision on the delivered result separately from the estimate. Keep feedback and the client’s response with the same task.

  3. Separate a correction from a new request

    When feedback falls outside the agreed outcome, create a clearly scoped follow-up task and estimate it if necessary. Keep the original delivery decision understandable.

  4. Close the loop

    After agreement, update the task’s status and leave a concise record of what was delivered. Task status, estimate decision and delivery decision should each be clear.
