AI task import
Convert a Word document to tasks: AI drafts from a client brief
To convert a Word document to tasks in TaskOH, upload the .docx to a project. The AI reads the text and the embedded screenshots and returns draft tasks that you review, edit or remove before anything reaches your board. It turns a client’s .docx brief into a task list without retyping, and it works on every plan, including Free with 5 AI credits a month.
How the Word import works
-
Upload the .docx
Open a project and pick a Word document with requirements, a brief or meeting notes, up to 10 MB.
-
Get draft tasks
Each draft has a title, a description, a type (Task, Bug or Request) and a priority. A due date is filled in only when the brief mentions a deadline, and screenshots add technical detail. The AI makes one draft per distinct item and, when the document has sections, prefixes titles with the section name. Expect more drafts rather than fewer. Drafts are written in the document’s language unless you pick English, Hungarian, German, French or Spanish.
-
Review before anything is created
Edit the drafts, delete the ones you do not want, then add the rest to the project. Nothing reaches the board until you do.
-
Plan as usual
New tasks start in Inbox and stay internal until you share them with the client. Classify scope, add hours and a fee to extra work, and send an estimate when the client needs to decide.
The import does not save the .docx to your project: the file is parsed on the server and the temporary copy is deleted. Attach the brief to a task if you want to keep it next to the work.
What the AI reads in a .docx
- Text: the body of the document, up to the first 50,000 characters. Anything after that is not read, so split very long specifications.
- Images: PNG, JPEG, GIF and WebP images stored in the document, up to 20. Every supported image in the file counts, including a logo in the header. Other image formats are skipped.
- File type: .docx only. PDFs are not supported. Download a Google Doc as .docx first, and save older .doc files again as .docx.
Turn emails into tasks (Pro and Business)
On Pro and Business, paste a client email or your meeting notes into a project. TaskOH strips the formatting, the AI extracts the requests, and the tasks are created directly in Inbox. Unlike the Word import, there is no draft review step, so check the new tasks in Inbox and delete or merge what you do not need. Pasted text is read as text only; attachments in the original email are not included.
How AI credits work, with examples
Each import costs 1 credit per started 10,000 characters of text (minimum 1), plus 2 credits per embedded image. Word and email imports share the workspace’s monthly allowance, which resets on the first day of each calendar month (UTC). Unused credits do not roll over, and a failed import gives its credits back.
| Import | Text | Images | Credits |
|---|---|---|---|
| One-page change list (.docx) | 6,000 characters: 1 | none: 0 | 1 |
| Short brief with 2 screenshots | 6,000 characters: 1 | 2 × 2 = 4 | 5 |
| Website specification with 3 mock-ups | 23,500 characters: 3 | 3 × 2 = 6 | 9 |
| Pasted client email (Pro and Business) | 2,400 characters: 1 | not read: 0 | 1 |
| Largest possible import | 50,000 characters: 5 | 20 × 2 = 40 | 45 |
Monthly allowances: Free 5, Solo 5, Pro 25, Business 100. On Free or Solo, that is five text-only briefs, or one brief with two screenshots. If an import needs more credits than you have left, TaskOH tells you how many it needs and nothing is charged.
Connecting your own assistant through the TaskOH MCP server or API uses no TaskOH credits. Your assistant can read a brief and create tasks with your permissions, and its model usage is billed by its own provider.

What is sent to the AI provider
To draft tasks, TaskOH sends the document’s text (up to 50,000 characters) and its supported images, or the pasted email text, to its AI provider. Nothing else from your workspace is included. As the privacy policy states, TaskOH does not use your documents or extracted data to train AI models. Keep passwords, API keys and other secrets out of briefs, as you would in any task description.
The AI can misread a brief or miss a requirement. Review every draft against the source document before you estimate from it.
Write briefs that convert well
- Give each change its own heading or numbered item.
- Add acceptance criteria as a short list under each item; they end up in the task description.
- Put a screenshot directly under the text it explains.
- Remove decorative images and header logos you do not need, since each image costs 2 credits.
- Send clients the client request template so their next brief has the same structure.
AI task import FAQ
Can I convert a Word document to tasks for free?
Yes. The Free plan includes 5 AI credits a month for Word imports. A text-only brief under 10,000 characters uses 1 credit.
Are the tasks created automatically?
Not from Word documents: you get drafts and decide what to add. Pasted-email imports on Pro and Business create tasks directly in Inbox.
Does it work with PDF files or Google Docs?
Only .docx. Download a Google Doc as Microsoft Word (.docx) and upload that file.
Do my clients see the imported tasks?
Not until you share them. Imported tasks are internal, like any task your team creates. On Solo and up you can mark them visible in the client portal.
Can the import turn a brief into a change request?
It creates tasks; you decide the scope. Mark the new items in scope or out of scope and estimate the extra work. The change request template helps when the brief adds work to an agreed project.
